Migration & User Management – Transitioning Between Instances
Thinking About Moving to a Different Data Region?
If you're considering switching your data server (e.g., from US to AU, EU, or another region), we recommend reviewing the steps and considerations below. When you're ready, please submit a support case and our Foxit Support team will guide you through the process.
1. Removing the Current Admin Console (Source Instance)
- Before we begin, please export your user list from the current Admin Console to a CSV or compatible format.
Migrating users on the Admin Console from one product to another
Important Notes:
-
- Once the Admin Console is deleted, it cannot be restored.
- All configurations, settings, and user data will be permanently removed.
- User accounts hosted on the original data center must be deleted before new accounts can be created in the new region. This step is handled by Foxit Support.
- Historical data will not be recoverable after deletion.
2. Setting Up a New Admin Console (Target Instance)
- A new Admin Console will be created in your selected region.
- A unique Super Admin email is required to initiate the setup.
- Foxit will update the region field for all users via a batch process.
- Single Sign-On (SSO) will need to be reconfigured by your Admin Console administrator.
- All users will need to be reassigned and reactivated under the new instance.Once the new admin console has been successfully configured, users must log in to their assigned applications to ensure the updated settings take effect and to continue using the software without interruption.
3. Reassigning Users New Admin Console
- Users must be manually reassigned to the new instance.
Migrating users on the Admin Console from one product to another - Roles, permissions, and settings will need to be reconfigured from scratch.
- Please note: automatic migration is not currently supported.
4. Creating New Users
- New users can be added via our official site: https://account.foxit.com/site/sign-up
5. Data Migration
- Direct merging between regional environments is not supported.
- For manual data migration, please contact Foxit Support.
- ⚠️ Manual migration may impact the integrity of original data.
Key Impacts to Consider with Instance Transition
- Loss of Historical Data: Please note that data from the original instance will not carry over. We recommend exporting any necessary records before initiating the transition to preserve important information.
- Manual Reconfiguration: Settings and user roles will need to be re-established in the new instance. Foxit Support is available to guide you through this process and help streamline setup.
- Potential Service Disruption: While temporary interruptions may occur during migration, these can be minimized by scheduling the transition during off-peak hours or planned maintenance windows. Our support team can assist in identifying optimal timing and provide best practices to ensure a smooth experience.
- eSign Account Limitation: eSign accounts are tied to specific regional environments and will need to be recreated in the new instance. We’re here to help you set these up quickly and efficiently.
Data Server – Frequently Asked QuestionsFeatures & Licensing
Q: Are there any feature differences between the US instance and other regional server instances (EU, AU, CA, CN, JP)?
A: No. All regional instances offer the same features. For a detailed comparison, please refer to the All Instance Server Feature Table
Q: Can customers based in Australia or other regions purchase additional products?
A: Yes. Customers can purchase additional licenses. These licenses will remain associated with the US server and continue to be managed through the same Admin Console unless the customer request to be changed to AUS server
Migration & User Creation
Q: Can customers retain their existing Admin Console email when migrating to another regional server (e.g., AU, EU, JP)?
A: No. A new, unique Super Admin email is required for the target region. SSO must be reconfigured, and users must be reassigned. The original console can be decommissioned before migration to the new Admin Console.
Q: How can two companies merge environments if they are using different regional servers (e.g., US and AU)?
A: There is no direct merge method between regional environments. Each company must follow the standard migration process, including manual user reassignment and configuration.
Q: Must existing user accounts be deleted before setting up new ones in the new data center?
A: Yes. All user accounts hosted on the original data center must be deleted before new user accounts can be created in the new regional data center (Process can only be done by Foxit).
Q: How are new users created for regional servers such as AU, EU, or JP?
A: New users can be created via the official website https://account.foxit.com/site/sign-up
Q: Will customers currently using the US instance be automatically migrated to their local regional server (e.g., AU)?
A: No. Migration is manual and must be initiated by contacting Foxit Support.
