AI Workspace Licensing, Access, and Availability

AI Workspace is included with the Foxit AI subscription and unlocked in PDF Editor v2026.2+ by the signed-in account. This guide covers entitlement, admin pooling and credit packs, and the most common access scenarios.

Answer

How Access to AI Workspace Works

AI Workspace does not have its own SKU and is not sold separately. It is included with the Foxit AI subscription and becomes available inside Foxit PDF Editor once three conditions are met:

  • Foxit PDF Editor v2026.2 or later is installed on Windows or Mac.
  • You are signed in to PDF Editor with your Foxit account.
  • That account has an active Foxit AI subscription, either purchased individually or assigned by your organization's administrator.

When all three are true, the AI Workspace entry appears inside PDF Editor. There is no separate installer, plugin, or activation key for AI Workspace itself.

Note: Upgrading PDF Editor to v2026.2 alone does not grant AI Workspace. The Foxit AI subscription on the signed-in account is what unlocks it.What Your Subscription Includes

The table below summarizes how the AI capabilities in the 2026.2 release relate to licensing. Use it to confirm what a given user should expect to see.

Capability How it is licensed Notes
AI Workspace Included with the Foxit AI subscription Project-based analysis and creation. Requires PDF Editor v2026.2+ on Windows or Mac and a signed-in, entitled account.
AI Assistant in PDF Editor Included with the Foxit AI subscription In-document AI, including natural-language PDF commands, inside PDF Editor.
Bring Your Own Model (BYOM) Configuration option in PDF Editor 2026.2 AI Assistant Connects any OpenAI-compatible service. Usage through your own model does not consume Foxit AI credits, and no data is sent to Foxit.
Local on-device AI Configuration option in PDF Editor 2026.2 AI Assistant Data never leaves the device or server, no cloud cost, and it works offline.
AI subscription pooling Admin Console feature (2026.2) Lets administrators share AI subscriptions across users in the organization.
AI credit packs Admin Console add-on (2026.2) Additional AI credits administrators can purchase for teams with heavy usage.

Common Scenarios

Scenario 1: Individual user with a Foxit AI subscription

1
Update PDF Editor to v2026.2 or later.

Check your version under Help > About Foxit PDF Editor and update if needed.

2
Sign in with the account that holds your Foxit AI subscription.

If you own more than one Foxit account, entitlement follows the account, not the machine.

3
Open the AI Workspace entry.

The entry appears once PDF Editor confirms your subscription. See the Getting Started guide for your first project.

Common issue at this stage: the entry does not appear even on v2026.2. In almost every case the signed-in account has no active Foxit AI subscription, or the user is signed in to a personal account instead of their entitled work account. Sign out, sign back in with the entitled account, and restart PDF Editor.

Scenario 2: User has PDF Editor 2026.2 but no AI subscription

PDF Editor continues to work normally, but the AI Workspace entry is not available. To gain access, the user needs a Foxit AI subscription: individuals can purchase one through Foxit, and users in managed organizations should request assignment from their administrator.

Scenario 3: Team with shared AI subscriptions

With 2026.2, administrators can use AI subscription pooling in the Admin Console to share AI subscriptions across users in the organization rather than binding each subscription permanently to one person. Users draw their entitlement from the pool through their signed-in account.

Common issue at this stage: a team member reports losing access they previously had. Check the pool assignment in the Admin Console first; access follows the current pool state, not past usage.

Scenario 4: Organization with heavy AI usage

Administrators can purchase AI credit packs from the Admin Console to add capacity for teams whose usage outpaces the credits included with their subscriptions. Consider credit packs when users report that AI actions stop mid-month while their subscription is otherwise active.

Reviewer note (remove before publish): Exact Admin Console navigation paths for subscription pooling and credit pack purchase are pending PM confirmation (Sophy Huang). Screenshots to be added once the flows are verified against the shipped Admin Console.Platform Availability

At launch (September 1, 2026), AI Workspace opens from Foxit PDF Editor v2026.2 on Windows and Mac. It requires an internet connection because document processing and content generation run through cloud AI services. Deployment through enterprise and volume licensing channels follows the standard PDF Editor 2026.2 rollout; there is no separate package to distribute for AI Workspace.
