AI Workspace Troubleshooting and FAQ
Diagnose and resolve the five most common AI Workspace issues — missing entry, rejected uploads, ignored sources, non-editable crafts, and exhausted credits — plus answers to frequent questions.

Issue 1: The AI Workspace entry does not appear in PDF Editor
Symptom: PDF Editor works normally, but there is no way to open AI Workspace.
Possible causes:
- PDF Editor is older than v2026.2.
- The signed-in account has no active Foxit AI subscription.
- You are signed in with a different account than the one holding the subscription (personal vs. work account is the classic case).
Diagnostic steps:
- Check the version under Help > About Foxit PDF Editor — it must be 2026.2 or later.
- Confirm which account is signed in.
- Confirm that account's Foxit AI subscription is active (individually purchased, or assigned by your administrator).
Resolution:
- Update PDF Editor to v2026.2 or later if needed.
- Sign out, then sign in with the entitled account.
- Restart PDF Editor and check for the entry again. If the account has no subscription, see AI Workspace Licensing, Access, and Availability.
Prevention: In managed environments, roll out the 2026.2 update and AI subscription assignment together so users never land in the version-without-entitlement gap.
Issue 2: A file will not upload to the project
Symptom: An upload is rejected while other files go through.
Possible causes:
- The file exceeds 100 MB or 2,000 pages.
- The project already holds 100 files.
- The format is unsupported (supported: PDF, Word, Excel, PowerPoint, Markdown, plain text, images).
Diagnostic steps:
- Check the file's size and page count against the limits.
- Count the project's existing sources.
- Verify the file extension is on the supported list.
Resolution:
- Split or compress files over the size or page limit.
- Remove unneeded sources, or move the work into a second project, if the project is full.
- Convert unsupported formats — exporting to PDF from the source application is usually fastest.
Prevention: Keep one topic per project. Focused projects stay far from the 100-file cap and produce sharper answers. Full limits: Supported Files, Formats, and Usage Limits.
Issue 3: Answers ignore your documents
Symptom: AI Chat responds generically, or clearly has not read a file you uploaded.
Possible causes:
- The file is uploaded but not selected as context. AI Workspace loads context from the sources you select in the left panel or open in the center panel.
- The question does not point the AI at the right sources when many are selected.
Diagnostic steps:
- Check which sources are currently selected in the left panel.
- Open the specific document in the center panel and ask again.
Resolution:
- Select the relevant sources first, then re-ask the question.
- Name the documents in your prompt when several are in play, for example: "Using the two vendor contracts, compare the termination clauses."
Prevention: Make source selection the first move of every session — it is the single biggest factor in answer quality.
Issue 4: A generated craft cannot be edited
Symptom: Some crafts open with editing available, while others do not.
Possible causes:
- Direct in-place editing applies to text-based crafts — Markdown documents, webpages, and diagrams. Other craft types do not offer the same inline editing.
Diagnostic steps:
- Identify the craft type in the left panel.
- Open a Markdown craft and confirm editing works there, to rule out a broader problem.
Resolution:
- For text-based crafts, edit directly in the center panel or ask the chat for a revision.
- For other craft types, ask the AI to regenerate with your changes described in the prompt.
Prevention: When you know you will iterate heavily on wording, generate a document or webpage craft first, refine it, then ask for the final format.
Issue 5: AI actions stop working partway through the month
Symptom: AI Workspace opened and worked earlier, but generation and analysis actions now fail or refuse to run, while the subscription is still active.
Possible causes:
- The AI credits available to the account or pool have been consumed by heavy usage.
Diagnostic steps:
- Confirm the subscription itself is still active (Issue 1 diagnostics).
- Check with your administrator whether the team's credit consumption is ahead of schedule for the cycle.
Resolution:
- Administrators can purchase AI credit packs from the Admin Console (2026.2) to add capacity.
- Organizations using AI subscription pooling should review how the pool is allocated across users.
Prevention: Treat repeated mid-cycle stalls as the signal to size up with credit packs rather than waiting out each cycle.
When to Contact SupportOpen a support ticket when the issue survives the diagnostics above — in particular when the entry is missing despite a verified v2026.2 install and confirmed active subscription on the signed-in account, when uploads within all documented limits are still rejected, or when generation fails repeatedly with credits confirmed available.
Include the following in your ticket so we can help quickly:
- PDF Editor version (Help > About) and operating system.
- The email address of the signed-in Foxit account.
- What you tried from this article and the exact behavior you saw, with the on-screen message text if any.
- For upload issues: the file type, size, and page count.
Is AI Workspace sold separately?
No. It has no standalone SKU and is included with the Foxit AI subscription. See AI Workspace Licensing, Access, and Availability.
Can AI Workspace edit my PDF files?
No. Editing the contents of a PDF remains a PDF Editor task. AI Workspace is for analysis across documents and creation of new content.
Does AI Workspace work offline?
No. It requires an internet connection because document processing and generation run through cloud AI services. (Separately, the AI Assistant inside PDF Editor offers a local, on-device AI option that works offline — that option applies to the in-editor Assistant, not to AI Workspace.)
How is AI Workspace different from the AI Assistant chat in PDF Editor?
The in-editor AI Assistant works with the document in front of you. AI Workspace works project-by-project: many sources at once, cross-document analysis, live web search, and generated deliverables (documents, presentations, images, diagrams, mind maps, webpages) saved into the project.
Where do my generated outputs live, and can I share them?
Crafts are saved into the project that produced them and listed in the left panel. Each craft can be shared with others through a shareable link. Projects also keep sources, crafts, and conversation context between sessions.
