Configuring Identity Verification for Envelopes

Admin and sender guide for enabling TradeLink IDV on signing envelopes

Answer

Foxit eSign integrates with TradeLink to offer identity-verified signatures. When identity verification (IDV) is enabled on an envelope, signers must confirm their identity using either iD-One or iAM Smart before their signature is accepted. Both methods are recognised under Hong Kong's Electronic Transactions Ordinance (ETO).

Overview of IDV Methods

Method

Provider

Description

iD-One

TradeLink

Email OTP verified against PKI Class 12 certificate. Works on any device. ~2 min if signer already has an account.

iAM Smart

HKSAR Government

Enabling IDV on an Envelope (Sender)

When preparing an envelope, you can require identity verification for one or more signers:

Step 1: Create or open an envelope

Log in to Foxit eSign and create a new envelope, or open a draft.

Step 2: Add recipients

Add the signers who need to complete identity verification.

Step 3: Set the IDV provider per recipient

In the recipient settings, find the Identity Verification dropdown. Select TradeLink (iD-One / iAM Smart). You can set different requirements per recipient if needed.

Step 4: Send the envelope

Once configured, send the envelope as normal. Signers will be prompted to verify their identity when they open the signing link.

When TradeLink IDV is enabled, the signing invitation email will inform the signer that identity verification is required before signing.

Enabling IDV Globally (Administrator)

Administrators can control which IDV providers are available to senders across the organisation:

Step 1: Go to Settings

Go to Settings from the sidebar, then click Account Settings.

Step 2: Open the Identity Verification section

Under Account Settings, select Identity Verification.

Step 3: Enable TradeLink

Check the box next to TradeLink (iD-One & iAM Smart). This makes the TradeLink option available to all senders when configuring envelopes.

Step 4: Save

Click Save. The setting takes effect immediately.

The Settings page helper reads: "Choose which identity verification providers are available to senders when they configure an envelope."

What Signers Experience

When a signer opens an envelope that requires IDV, they will see a "Verify your identity to complete signing" dialog before they can sign. They can choose between:

  • iD-One — enter their registered email and an OTP
  • iAM Smart — scan a QR code with the iAM Smart mobile app and authenticate biometrically

Both methods are legally equivalent. The verification method chosen and the timestamp are recorded in the Foxit eSign audit trail.

Audit Trail

The Foxit eSign audit trail captures the following for IDV-verified envelopes:

  • The identity verification method used (iD-One or iAM Smart)
  • The timestamp of verification
  • The verified identity linked to the signature

This information is visible in the Envelope History and in the completed document's certificate of completion.

Frequently Asked Questions

Q: Can I require a specific IDV method (iD-One only, or iAM Smart only)?

A: Currently the TradeLink option enables both methods, and the signer chooses which to use. If you need to enforce a specific method, contact your TradeLink account manager.

Q: What happens if a signer does not have an iD-One account?

A: The signer will see an option to Apply for iD-One during the signing flow. They can complete the iD-One application and return to sign once their account is approved. Alternatively, they can use iAM Smart if they have that account.

Q: Does IDV increase signing time?

A: For signers with an existing iD-One account, the full process takes approximately 2 minutes. iAM Smart typically takes under a minute with the app ready.

Q: Is IDV available for all envelope types?

A: IDV is available for standard envelopes. Contact Foxit eSign support to confirm availability for bulk send or API-created envelopes.
