Search in Foxit DMS (Document Management System)
Explains how to search for documents in Foxit DMS Document Management System.
Answer
This article explains how the Search feature in Foxit DMS helps users quickly locate files and folders using Basic and Advanced Search, including applying filters to refine results.
Using the Search Feature
The Search feature in Foxit DMS helps you locate files and folders within the My Files tab, where your documents are stored. Basic Search lets you find items by name, metadata value, tags, or OCR-recognized text. Advanced Search allows you to apply multiple conditions to further refine your results.
Basic Search
The search bar at the top allows you to quickly locate files and folders without navigating through your repository.
- File or folder names, metadata, and tags: As you type in the search bar, matching file names, folder names, metadata values, and tags appear instantly in a dropdown list.
- OCR text search: To search within document content, enter a keyword from the document and press Enter. Text recognized through OCR in supported files is included in the search, and results are displayed on the full results page.
Advanced Search
Use Advanced Search when you need to combine multiple conditions to narrow down results. This option provides more control than Basic Search and is useful when working with large repositories or project-specific queries.
In the Advanced Search panel, you can:
- Enter a Search Term to match file or folder names, metadata values, tags, or OCR-recognized text within documents.
- Select a Folder to limit the search scope to a specific location.
- Apply a Date Range filter by specifying start and end dates.
- Filter by Metadata, including default fields (for example, Owner, Retention, or OCR Language) or custom metadata fields.
- Add multiple conditions using the + Add Filter option to further refine results.
Search Score
On the search results page, the Search Score column indicates how closely a file or folder matches your search query. Higher scores represent more relevant results. Scores are based on relevance and confidence, so results may vary depending on how closely the content matches the search query.
